Opportunity / Position Summary: This is a Fixed Term full time position until June 2022. The PLF is looking for a dynamic Administration Assistant will provide administrative support to the Pacific Labour Facility program (PLF) and its staff. Primary Duties and Responsibilities: Provide administrative and secretarial support to program team, including arranging meetings and workshops Be responsible for maintaining and keeping accurate records of PLF assets including the asset register, asset tagging, assets forms and asset stocklists Maintain central filing system, office supplies track record, office utilities usage Ensure accurate and efficient management of correspondence, invitations, files, records and databases of contacts Maintain the away from office register and tracking staff attendance Assist with office photocopying, filing and typing Maintain hard and soft copies of program documents in compliance with DFAT Record Management policies. This position will also require you to ensure that the office common areas are kept clean and tidy including kitchen duties (emptying dishwasher, buying milk etc), sanitising meeting rooms etc. Required Qualifications: Experience in office administration, especially in support function of large-scale organization. It is expected of you to have good interpersonal skills . Key personal skills and attributes you must tick: Proven track record in office management systems and procedures Able to use technology effectively to support the operations of a large program or organisation High level proficiency in Word, Excel, PowerPoint and web browsers Ability to work to deadlines, and to balance competing priorities.
